JOB SUMMARY 

UNDER THE SUPERVISION OF THE COORDINATOR OF INTERNATIONAL PROGRAMS, THE ADMINISTRATION TECHNICIAN PLAYS A KEY STUDENT-FACING ROLE IN SUPPORTING INTERNATIONAL STUDENTS’ ACADEMIC, PHYSICAL, AND MENTAL WELLBEING WHILE ENSURING A POSITIVE AND SUPPORTIVE TRANSITION TO LIFE IN CANADA. THE SUCCESSFUL CANDIDATE WILL HELP COORDINATE, PLAN, AND ADMINISTER DAILY OPERATIONS WITH EMPHASIS ON HOMESTAY PROGRAMMING, STUDENT SUPPORT, AND FOSTERING STRONG RELATIONSHIPS BETWEEN STUDENTS, HOMESTAY FAMILIES, AND ON/OFF CAMPUS PARTNERS.

DUTIES AND RESPONSIBILITIES

•             Meet with international students individually and in groups, on a regular basis to assess and monitor their cultural integration at school, and with their homestay family;
•             Organize and animate virtual and in-person international student information sessions and orientation sessions;
•             Coordinate and execute student programming, including, scheduling, orientation, communication with partner institutions, communication with parents, etc.;
•             Coordinate, organize and attend cultural outings in and around Montreal with international students;
•             Act as part of the IPO (International Programs Office) emergency response team for student emergencies;
•             Organize and execute screening and onboarding of new host families to ensure accuracy of files
•             Refer to and collaborate with on-site institutional partners (accompanying professors, group chaperons, etc.)  to ensure students’ JAC academic, physical and mental health
•             Provide guidance and resources to international students to encourage effective communication with their homestay families, teachers and peer group;
•             Maintain up to date records regarding interaction with students and on-site institutional partners;
•             Provide on-site institutional partners and homestay families with regular email and telephone updates about JAC opportunities and activities;
•             Organize and execute placement of students into homestay families
•             Collect relevant information from international students and homestay families during mediation activities;
•             Collect information from involved parties during student discipline cases to present to the International Advisor and Coordinator of International Programs for analyses;
•             In collaboration with the International Advisor, provide support to faculty project leaders in the execution of outbound international mobility projects, grant requests; risk management procedures;
•             Create digital content (videos, flyers, photos, etc.), on-line recruitment campaigns (for host families) and curate IPO social media accounts (Facebook, Instagram, Snapchat, etc., and update regularly;
•             Create a bi-monthly IPO newsletter;
•             Perform other related tasks as assigned by the Coordinator of International Programs;


EDUCATION: Diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, or a diploma or an attestation of studies that is recognized as equivalent by the competent authority.


SPECIFIC REQUIREMENTS

•             Intermediate knowledge of computers: Word, Excel, maintaining web pages, Windows environment
•             Intermediate knowledge of French (oral, written comprehension and written)
•             Advanced knowledge of English (written, oral and comprehension)          
•             Strong organizational skills
•             Ability to work under pressure
•             Ability to deal pleasantly and efficiently in a fast-paced environment serving large groups of local and international clientele, i.e. individuals, prospective students, and partner organizations
•             Ability to mediate delicate issues related to homestay
•             Strong intercultural skills: awareness of cross-cultural differences, and excellent interpersonal skills in dealing with multicultural clientele an asset
•             Will be required to work evening and weekend hours (as needed)
•             Knowledge of a third language an asset
•             Driver’s license is an asset (travel within 50 KM from the College)
•             International work experience an asset
•             3–5 years of hands-on experience supporting and engaging with students is a strong asset
•             May be required to travel outside Quebec and abroad to support recruitment, partnership development, and other activities representing the College.
